Annual General Meetings:

The Annual General Meetings (AGM) for the Combination and Money Purchase Pension Plans will be held on the following dates:

Combination Pension Plan AGM:          May 28, 2025 - 4.30pm to 6.30pm

Money Purchase Pension Plan AGM:    May 29, 2025 - 4.30pm to 6.30pm

AGM Registration:

CPP: The meeting will be held both online and in person at Michèle Pujol Room, and we invite you to attend in your preferred format.

MPP:  The meeting will be held both online and in person at the David Turpin Building, Room A102, and we invite you to attend in your preferred format.

YOU MUST PRE-REGISTER! THE AGM OFFERS BOTH IN-PERSON AND VIRTUAL OPTIONS FOR ATTENDANCE:

  1. Email pensadmin@uvic.ca by May 16th, 2025. Please include your full name, telephone number and employee number.
  2. Indicate whether you intend to attend the meeting in-person or online (Zoom).
  3. Registered attendees will receive an email with either the meeting location (on campus at UVic) or the Zoom log-in details by May 26, 2025.

NOTICE: MEMBER RESOLUTIONS PROCESS

The pension plan document specifies that members may, by resolution passed at a properly convened meeting of the members, make proposals for the amendment of the Plan – and upon receipt thereof by the Pension Board, it shall within a reasonable time report to the membership its decision in respect to such resolution.

An AGM is a properly convened meeting of a plan’s members. To provide for the possibility of member resolutions, the Pension Board of Trustees has developed a process for resolutions, as summarized below.

  • Members may only propose and vote on resolutions of a Plan in which they are a member.
  • To provide for full consideration by all Plan members, a proposed resolution must be sent in writing to the Board Secretary, at pensboard@uvic.ca, at least two weeks in advance of the AGM date (deadline is May 14 for CPP, and May 15 for MPP). The submission should identify the names and email addresses of the mover and seconder for the resolution, both of whom must be members of the Plan.
  • The Board Chair and Secretary will assess if the proposed resolution represents an amendment of the Plan. The mover and seconder will be contacted directly if there is any such concern about the resolution.
  • Proposed resolutions will be made available for viewing no later than May 21, 2025 at .
  • The mover and seconder are expected to attend the AGM to move the resolution for consideration. If they can not, other Plan members may move or second the resolution.
  • After appropriate debate, any resolution will be voted upon by all Plan members attending the AGM.
  • A resolution shall be considered passed if a majority of members voting are in favor. For logistical reasons related to voting by virtual attendees, the result of a vote may not be fully determined until after the AGM. In this case, results of the vote will be shared on the page as soon as they are available.
  • Any passed resolutions will be forwarded to the Board of Trustees for consideration, as specified in the Plan documents.
