Get ethics approval

Funding Release Prior to Ethics Approval

UVIC requires a valid human and/or animal ethics protocol before granting access to research funds for research involving human participants, animals and/or biological agents. If the Principal Investigator (PI) indicates on the Research Application Summary Form (RASF) in RAIS that ethics approval is required, funding will be withheld until such approval is obtained.

However, if the proposed work includes preliminary activities that do not involve human or animal research—and therefore do not require ethics approval—an early release of a portion of the funding may be requested through Research Finance.

Tri-Council agencies (CIHR, NSERC, SSHRC) permit early access to funds where research activities involving human participants (and/or animals and/or biological agents) do not occur until a later research phase. Please verify that your funder allows for this arrangement.

Early Release Process (~1 week to process)

  1. The PI prepares an Early Funding Release Form and emails it to orsfinance@uvic.ca. Requests must not exceed 50% of the total award or surpass the amount awarded to date. If requesting 50% or more, a detailed justification must be provided in the accompanying Statement of Work.
  2. Research Finance will review the documentation and secure the necessary approvals.
  3. Once approved, Research Finance will setup the budget in RAIS and email a partial Open Account Memo (OAM) to the PI.
  4. If additional funds or an extension to the use of funds period is required, the PI will submit a new Early Funding Release Form to orsfinance@uvic.ca.
  5. Once the ethics application has been approved, the PI must provide the ethics file number to Research Finance to facilitate the release of the full budget. 

 FAQ

If you are sending funds to a Tri-agency eligible Canadian institution, you do not need to submit a funding release request.

If you are sending funds to a non-eligible institution, please submit an Early Funding Release Form and include the amount and recipient institution in the Statement of Work.

If the project has changed such that ethics approval is no longer required at any stage, contact ethics@uvic.ca (human) and/or animalethics@uvic.ca (animal) to receive an exemption.

Once an exemption has been granted, the ethics team will notify Research Finance to release the full budget.
