Teaching lab booking
This page is about bookings for the 13 general use teaching labs in the Clearihue, BEC and HSD buildings. These are managed by University Systems and are available to all faculties for scheduling lectures and labs. Faculty and staff can also book them on a casual basis for workshops, exams, and other events that require computers.
Systems doesn't manage the schedules for computer labs that are owned by an academic department, faculty, or library. These labs are considered restricted and their schedules are managed by the department that owns them. Booking contacts for restricted teaching labs is available on each lab page.
Teaching labs in HSD reserved
The 3 teaching labs in the HSD building are reserved 24/7 for exams indefinitely.
We're doing our best to accommodate all academic bookings in the Clearihue and BEC buildings. However, our capacity to add bookings during our peak hours is limited.
Before you book
We make our best efforts to accommodate all booking requests that meet our scheduling requirements. Because our labs host a variety of activities, we recommend booking your course or event as early as possible.
Here is a brief summary of our booking procedure and policies.
- Minimum notice of two business days is preferred
- All bookings end at 20 or 50 minutes past the hour; a booking with a listed end time of 3 pm should be understood to end at 2:50 pm
- Weekly academic bookings will not include reading break and final exam periods
- Please include your set-up and software requests in your booking request
- You are responsible for providing software installers and license information
- We require lead time to deploy your software requests
- Instructors are encouraged to test software before their bookings
- Non-academic bookings may require additional planning outside of the booking
Academic bookings can also request:
- Network file storage for course material
- A configuration designed for writing exams in computer labs
Book your room
If you are already familiar with the teaching labs or don't have a room preference, you can proceed to your booking request.
Academic use includes:
- Lectures
- Labs
- Tutorials
- Midterms and final exams
Non-academic use includes:
- Continuing Studies and other non-credit courses
- Staff training and technology demos
- Data collection for researchers
- UVic-sponsored workshops and community events
Software
The software on lab computers changes frequently depending on the needs of instructors. You can use AllSight to see what's currently available, but don't assume that because something is installed now, it will still be installed in a future term.

You can also submit a booking request directly from a teaching lab page. We will do our best to accommodate all requests but can't guarantee room availability.
Schedule changes and cancellations
If your booking time or date changes, please notify scfbook@uvic.ca as soon as possible. Our staff will work to accommodate the new time, which may require moving other classes and notifying other instructors. Last minute requests will result in staffing fees.
If you no longer need your booking, please notify scfbook@uvic.ca as soon as possible so we can free up the space in the schedule.
